To ensure students' easy access to live online meetings and recordings (if applicable, varies by instructor), instructors of Live Online courses may need to log into the official Zoom website via a web browser to configure their meeting and cloud recording settings, as not all configuration options can be set in Canvas.
This article will provide an orientation to the UCSD Zoom login site, AD login screen, and the areas in the Zoom website where instructors will find the settings for meetings and recordings.

Meeting Settings
General Tips for Student Success
Make sure your students can enter your Live Online meetings easily by disabling authentication. And it might be easier to use only the waiting room to secure your meetings. While passcodes are an option for meeting security, they can sometimes create barriers to access, so if you choose to use a passcode, be sure to either actively share the passcodes with your students or use the passcode embed option (explained below).
Note: In the information below, you will see links to Zoom help articles which cover these options in more detail. All settings are shown in order they appear on the website.
1. Once logged into the ucsd.zoom.us website, click Settings in the left-side menu, and then click the Meeting tab at the top of the screen. You will now have access to your meeting settings.
2. Scroll down to the Security section to see your options. By default, Zoom protects meeting rooms with the waiting room unless otherwise configured.
One Security Option
You can ensure a specific security style is used for all of your meetings by activating Require that all meetings are secured with one security option. You can choose this option and designate either passcode or waiting room (WARNING: Do not use authentication as our extended studies students have no way to authenticate).
Waiting Room
Waiting Room is the best option for protecting your meeting and making it easy for your students to join. You can admit students from the waiting room into class, ensuring only those students on your roster are allowed to participate.
Enable the waiting room by clicking the switch, changing it to blue. You can also modify your waiting room options and can even customize the waiting room.
Passcode
You have several options for passcodes, but most of them do not matter for your Live Online class sessions programmed in Canvas. To make things simpler for your attendees, choose embed passcode in invite link for one-click join.
Authentication (Disable!)
Be sure that this slider is gray, indicating that authentication is disabled. Extended Studies students cannot authenticate. If this is enabled, your students will not be able to join your meetings.
Recording Settings
General Tips for Student Success
When possible, remove all barriers to access for your cloud recordings, but if you choose to use passcodes, be mindful of the settings you choose and be prepared to provide students with passcodes.
1. Once logged into the ucsd.zoom.us website, click Settings in the left-side menu, and then click the Recording tab at the top of the screen. You will now have access to your cloud recording settings.
2. Scroll down and enable allow cloud recording sharing so that any future meetings will give students access to the recordings.
- Note: If you already had some meetings and are just now turning this on, the effect is not retroactive. You will need to retrieve the recording(s) and manually provide students with a link. See the articles below for sharing videos that were captured prior to activating this sharing option.
It is possible to passcode protect recordings, but some students have issues with passcodes, so avoid them unless you are ready to support students when they have access issues.
